Executive Assistant (Part-time, Remote)
Overview:
The Executive Assistant will work to embody and forward Birth Strides’ mission of providing education, support, and community for Black mothers and infants through the human rights framework of Reproductive Justice (RJ).
Job Summary:
The Executive Assistant conserves the Founder & Executive Director’s time and promotes the organizational image by representing the ED internally and externally; providing liaison between the ED, key leadership team members and employees; publishing the organizational newsletter and managing social media channels. Through effective execution of wide-ranging and multi-faceted administrative duties, this position supports the organization’s Founder & Executive Director.
These duties include, but are not limited to:

MINIMUM EDUCATION/EXPERIENCE:
Currently this is a part time, remote position that may lead to full time and/or in office. Because the nature of our work involves direct service care and access to privileged health information, all staff are required to complete a basic background check.

Through effective execution of wide-ranging and multi-faceted administrative duties, this position supports the organization’s Founder & Executive Director.
These duties include, but are not limited to:
General Office and Specific Admin Tasks
- Ability to navigate and handle confidential information, documentation, and contacts of organization
- Represents the Founder & ED by welcoming guests, reviewing correspondence; arranging organization meetings, dinners and other functions; answering questions and meeting/speaking engagement requests directed to the ED.
- Maintains ED calendar
- Publishes organizational newsletter
- Coordinates and manages volunteers
- Assists with social media management
- Answers phones, take messages and disseminate to appropriate staffer
- Maintains receipts in bookkeeping program (training provided)
- Serves as liaison between leadership team staffers and the ED.
- Arranges organizational travel and meetings
- Develops itineraries and agendas; booking other transportation; arranging lodging and meeting accommodations.
- Completes projects and special assignments by establishing objectives; determining priorities; managing time; gaining cooperation of others; monitoring progress; problem-solving; making adjustments to plans.
- Updates job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks; participating in professional organizations.
- Improves quality results by studying, evaluating, and re-designing processes; implementing changes.
- Maintain and cultivate relationships as a liaison of Birth Strides with allies, donors and base;
- Prepare, edit and format documents (memos, letters, presentations, etc.)
- Maintaining primary office files (excepting files related to other staff members’ primary responsibilities)
- Fulfilling orders for merchandise and literature
- Organizing and handling incoming and outgoing mail
- Managing external relationships with vendors
- Maintaining and updating contact databases
- Assisting in the coordination of logistical tasks related to events, meetings, conferences and all trainings
- Assisting in answering phones and taking messages
- Maintaining office supplies
- Assisting with conference and meeting logistics
- Assisting in keeping minutes of meetings as assigned
- Producing and distributing meeting notices, agendas and minutes as assigned
- Maintaining property inventory records; assists in the selection of new equipment and furniture; coordinates equipment maintenance and vendor contracts
- Operating a variety of machinery which may include computers, copiers, and fax machines
- Other tasks as may be assigned
Required Skills and Equipment
- Functioning computer/laptop and high speed internet
- Reliable transportation for occasional in office support and live within Memphis, TN
- Working knowledge of computers, database software, internet and email programs
- Expert knowledge of MS Office Suite
- Knowledge of and experience with small non-profit organizations
- Excellent communication skills, both oral and written
- Excellent organizational skills
- Demonstrated ability to work under limited supervision
- Must be able to multi-task and work within an ever-changing work climate
- Must be a proficient typist (65 wpm+)
MINIMUM EDUCATION/EXPERIENCE:
- Must have a high school diploma, or GED
- Background in public health or birth work (midwife, doula, childbirth education) is a plus
- Working knowledge of social media marketing on Facebook, Twitter, Pinterest, and YouTube, etc
- Requires a good balance of creativity and strategic thinking
- Excellent time management skills and ability to manage multiple priorities
- Maintain positive, enthusiastic attitude with associates, business vendors and management
- Consistent follow-through and sense of urgency
